CondoCierge LLC – Terms & Conditions

These Terms & Conditions (“Terms”) apply to all services provided by CondoCierge LLC (“CondoCierge,” “we,” “us,” or “our”) within the Florida Panhandle. By booking or using any of our services, you (“Client,” “Guest,” or “Renter”) agree to be bound by these Terms.


1. General Information

1.1 Business Structure

CondoCierge LLC is a limited liability company that provides concierge-style services including grocery delivery, beach and baby gear rentals, special request decorating, car services, experiences, and related travel conveniences.

1.2 Service Area

We proudly serve clients throughout Panama City Beach and 30A, Florida.


2. Payments & Fees

2.1 Booking & Payment

Payment is due at the time of booking.
Any additional charges (such as grocery costs, handling fees, replacement fees, or holiday fees) will be charged to the payment method on file after booking.

2.2 Non-Refundable Convenience Fee

All delivery-based services include a Convenience Fee, which is non-refundable under all circumstances, as it reserves the client’s spot on CondoCierge’s limited calendar.


3. Gear Rentals: Responsibility, Damage & Loss, and Assumption of Risk

3.1 Use of Rental Items

All rental items remain the property of CondoCierge. While reasonable wear and tear is expected, renters are responsible for items from the moment they are delivered until pickup.

3.2 Damage or Loss

Clients agree that:

  • Lost, stolen, or irreparably damaged items will be billed at actual replacement cost.
  • Items must not be altered, disassembled, or misused.
  • Items must be stored securely (especially during storms or high winds).
  • Missing items at pickup will be charged automatically.

3.3 Assumption of Risk

Clients acknowledge that the use of rental items, including but not limited to beach gear, baby equipment, paddleboards, activity centers, and other rental equipment, involves inherent risks. By accepting and using rental items provided by CondoCierge, clients voluntarily assume all risks associated with their use.

Clients agree that:

  • All rental items are used at their own risk.
  • CondoCierge is not liable for any injury, illness, death, property damage, loss, or other claims arising from the use or misuse of rental equipment.
  • Clients are responsible for ensuring rental items are used safely, appropriately, and only for their intended purpose.
  • Clients are responsible for the actions of all members of their party, including children and guests, who use the rental equipment.
  • CondoCierge provides rental equipment in good working condition but makes no warranty regarding suitability for any particular use or activity.

4. Cancellations & Refund Policies

4.1 Grocery Delivery

Cancellation waives the Convenience Fee refund.
If cancelled after groceries have been ordered or within 48 hours of scheduled delivery, the client remains responsible for the full cost of groceries and associated Handling Fees.
All grocery items are final sale once delivered.

4.2 Gear Rentals

Cancellation waives the Convenience Fee refund.
Once rental gear is delivered, rentals are non-refundable.

4.3 Special Requests & Decorating Services

Cancellation waives refund of the $99 Decorating Service Deposit.
If decorations or special-request items have already been approved for purchase, you are responsible for the full cost of those items and any associated Handling Fees.
All decor items are final sale once delivered.

4.4 Car Services

Airport Transfers or Chauffeur Services cancelled within 72 hours of pickup are 100% non-refundable.
Rescheduling may be possible but is not guaranteed.

4.5 Experiences & Excursions

Each third-party experience follows its own cancellation policy.
CondoCierge is not responsible for third-party refund decisions.


5. Weather Policy

Weather and natural conditions are outside of our control.

5.1 Delivered Rentals

If beach gear has already been delivered, no refunds will be issued for:

  • Rain or storms
  • High winds or red flags
  • Beach closures
  • Dangerous conditions

5.2 Trip Cancellations

If your trip is cancelled at least 72 hours before delivery, rental item costs and grocery deposits will be refunded (Convenience Fee excluded). 


6. Property Access

6.1 Access Requirements

Clients or property managers must provide accurate entry information (door code, gate code, etc.) in order for CondoCierge to make a delivery or pick up.
CondoCierge is authorized to access the property before check-in for delivery and setup.

6.2 Access Delays

CondoCierge is not responsible for delays caused by:

  • Incorrect access codes
  • Locked gates
  • Property manager restrictions
  • Guest or host unavailability

7. Photos for Proof & Marketing

7.1 Proof of Delivery

CondoCierge photographs all deliveries and completed setups for internal documentation.

7.2 Marketing Use

These photos may also be used for marketing unless the client requests otherwise in writing prior to their service.
No identifiable guest information will ever be shown.


8. Liability & Safety

8.1 Use at Your Own Risk

All rental items—including beach gear and baby gear—are to be used at the renter’s own risk.

8.2 CondoCierge Is Not Liable For:

  • Accidents, injuries, or misuse of equipment
  • Failure to supervise children or infants
  • Beach hazards, strong winds, or natural conditions
  • Damage due to guest negligence
  • Improper setup/movement of gear by guests

Parents and guardians assume full responsibility for the safe use and supervision of all baby gear.


9. Client Responsibilities

Clients agree to:

  • Review order details for accuracy
  • Provide correct access instructions and dates
  • Protect rental items from damage or theft
  • Notify CondoCierge of unsafe or broken items immediately
  • Return items in the same condition they were delivered

10. Right to Refuse Service

CondoCierge may refuse or cancel any order at its discretion, including when:

  • Conditions are unsafe
  • Access cannot be obtained
  • Policies or local laws are being violated

11. Third-Party Providers

Experiences, excursions, and car services may be delivered by independent providers. CondoCierge is not responsible for:

  • Quality of service
  • Scheduling issues
  • Refund or cancellation decisions

12. Governing Law

These Terms are governed by the laws of the State of Florida. Any legal claims must be filed in Walton or Bay County.


13. Acceptance of Terms

By booking, paying for, or using any CondoCierge service or rental item, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.


14. Privacy & Data Collection

CondoCierge LLC is committed to protecting your privacy. This section explains what personal data we collect through our website and why.

14.1 Information We Collect

We may collect the following types of information:

Comments & Forms
When visitors leave comments or submit forms, we collect the information provided, along with the visitor’s IP address and browser information to help prevent spam.
An anonymized version of your email (a “hash”) may be shared with Gravatar to check if you use their profile service. Your profile image may appear publicly beside approved comments.

Uploaded Media
If you upload images, avoid including location data (EXIF GPS), as website visitors can download and view this information.

Cookies
We use cookies to improve your experience:

  • If you leave a comment, you may choose to save your name, email, and website in cookies for future convenience (stored for 1 year).
  • If you log in, we set temporary cookies to confirm your browser accepts cookies.

14.4 Your Rights

If you have an account or have left comments, you may request:

  • A copy of the personal data we hold about you
